Job Title: Events Director

Reports to: General Manager

Department/Group: Front of House Operations

Location: LE Colonial Lake Forest - On Site - Non-Remote 

 

Travel Required: NONE

Level/Salary Range: 75,0000.00-80,000.00 + Commissions.

Job Description

· - Handling the events on all sides from start to finish.

· - You are responsible for organizing, mobilizing and/or coordinating the staff, event participants, and administrators for the successful execution of an event.

· - The FOH operations team will assist you with the staffing for your events.

· - You will be required to develop an event management plan for events which includes comp set reporting, planned outreach with local companies and participation in the local event organization committee.

· - You will be required to monitor the progress of the planning and execution of each task that has to do with the event.

· - Serve as the link between the event and third parties and culinary department.

· - Make sure that staff adheres to the company event policies that were put in place to ensure a smooth event.

· - Responding to all inquiries within 24 hours.

· - Conducting familiarization trips with clients, creating beos,

· - You will be required to greet all guests for each of your events up to entrees.

· - You will be expected to work 55 hours per week which is an estimation. Some weeks will be shorter and some weeks will be longer. Your schedule will be worked out with the GM with the expectation of a 55 hour work week from 9-6 depending on if there are events. You must meet and greet all events.

· - You will be responsible for planning and executing outreach and creating a plan that you will execute. You will be required to work on outreach to local hotels and form relationships with the concierge teams, sending of mailers and marketing of the space.

· - Chairing the twice weekly held BEO meeting with all managers including culinary.

· - Overseeing and monitoring Tripleseat with monitoring the processing of deposits, maintaining of terms and conditions on the contract, ensuring contracts are signed and adhered to per our guidelines and working alongside the accounting department to make sure all tracking sheets are complete and accurate.

· - You will be required to create a weekly forecast that must be updated with a Week of Week variance so that we can see how much business has been picked up.

· - You will be required to send the weekly inquiry report and the daily deposits logs to ownership and the Corporate Director.

· - Along with the GM you must ensure that all staff members are trained on their responsibilities and are familiar with the venue.

· - Ensuring that all vendors are scheduled appropriately.

· - Managing the flow of operations during an event to ensure that everything operates smoothly, including setup, breakdown, activities, and tear down.

· - Participate and become a member of the local event planning committee.

· - Take ownership of the event space and walking through each day so that its show ready at all times.

· - Working on logistics with the GM so that the rooms are setup ahead of time for events.

· - Coordinating the staffing agency for events when we do not have the staffing in house to cover. 

 

Qualifications:

· Prior experience in customer service

· Excellent phone skills and communication skills

· Must be a team player

· High school diploma or GED equivalent required

Additional Qualifications:
Working knowledge of OpenTable

Working Knowledge of TripleSeat

 

Physical Demands:

This position is very active and requires standing for long periods of time. The position may require occasional lifting of products weighing up to 20 pounds.

 

Position Type and Expected Hours of Work:

This position regularly requires long hours and a schedule that fluctuates based on business needs.
